01 · Roster and renewals

The roster that keeps itself.

Add a member by callsign and the name, address and licence class fill in from the licence record. Renewal reminders go out before a membership runs out, expired members are flagged, and applications from your public club page wait for an officer to approve. Import your old spreadsheet in one step.

  • Add by callsign, details filled in for you
  • Membership types: regular, family, student, life
  • Renewal reminders and expiry notices on your schedule
  • Applications from the club page, approved in one click
  • Family and unlicensed members on the roster too
  • CSV import and export

02 · Officers and permissions

The right job for every volunteer.

President, Treasurer, Secretary, Station Trustee, Net Manager, Emergency Coordinator, VE Liaison and fourteen more, each with the permissions the job needs. The treasurer keeps the ledger, the net manager keeps the nets, and every change is signed in the audit log, so the next secretary inherits a club, not a shoebox.

  • 21 positions ready to use, or create your own
  • Permissions follow the position
  • Members see what their rank may see
  • An audit log of every change
  • Several clubs per person, switch in a click

03 · Dues and donations

The treasurer's evening, done in minutes.

Record cash and checks in seconds, or let members pay online into the club's own PayPal or Stripe account. Receipts go out by email, the membership extends from its current expiry, and the reports show the year by month, by type and by method, with who is due in the next sixty days.

  • Online payment into the club's own accounts
  • Receipts emailed automatically
  • Donations with a note
  • Reports by month, type and method
  • Who is due in the next 60 days

04 · Events, RSVP and volunteers

From the monthly meeting to Field Day.

Monthly meetings, workshops, VE sessions, hamfests and Field Day, with templates for each. Members answer yes, maybe or no, sign up for jobs like antenna setup or the 40 m station, and get a reminder before the day. Check-in with a code or take attendance at the door, and the attendance report writes itself.

  • Repeating events in the club's time zone
  • RSVP with guests
  • Volunteer jobs with shifts and reminders
  • Self check-in or attendance by the organizer
  • Event templates: Field Day, VE session, fox hunt, Kids Day
  • Trivia nights with 6,617 real questions

05 · Nets and net control

Net control, without the clipboard.

Switch the app into Nets mode and it becomes a net control station: the opening script with the right names filled in, type a callsign and press Enter to log the station, regulars waiting one click away, traffic and relays noted. A rota with reminders tells each net control when it is their turn, and every session's log and statistics are kept.

  • The opening and closing script on screen
  • Type a callsign, press Enter, logged
  • Regulars not yet in, one click to check in
  • Net control rota with reminders
  • Logs and check-in statistics for every net
  • Check-ins count toward members' awards

06 · Newsletters and announcements

A newsletter your members open.

Pick a template, a monthly newsletter, a meeting announcement, a Field Day recap or a welcome for new members, and the blocks fill themselves from the club's records: what is coming up, who joined, who was on the air. Change every colour, font, word and picture. Send to the whole club or a slice of it, now or at a time you choose.

  • HTML newsletter designer with templates
  • Blocks that fill themselves from the club
  • Send now or schedule it
  • Write to a rank, a skill, or who said yes to an event
  • Unsubscribe link on every message, opt-outs honoured
  • Welcome, renewal and expiry emails in your own words

07 · Elections and ballots

An election night with no paper.

Set up the offices, candidates and propositions, choose who may vote, and open the election. Every eligible member gets a personal ballot by email and in the app, votes once, and the count is done for you. Who voted is recorded; how they voted is not.

  • Candidates and yes/no propositions
  • Eligibility by rank and by time in the club
  • One personal ballot per member
  • Votes stored without names
  • Results when you choose to show them

08 · Awards and certificates

Thank the people who make the club.

Ham of the Year, Elmer of the Year, Volunteer of the Year, Rookie of the Year and Life Membership, each a medal with the club's picture and callsign and a certificate to print. Members also earn awards on their own: 5, 10, 25 and 50 years in the club, meetings attended, net check-ins. Add a long-time member and their years are honoured on the spot.

  • Medals with the club's picture and callsign
  • Printable certificates with a citation
  • Years-of-membership awards, granted on their own
  • Attendance and net check-in awards
  • Your own awards, your own rules

09 · Emergency team and call-outs

When the served agency calls.

Each volunteer keeps their training (ARES, RACES, ICS, Skywarn, CERT) and equipment (handhelds, HF, go-kits, generators) up to date. When the call comes, the Emergency Coordinator sends a call-out with where to report and on which frequency, and watches the board fill: coming, on scene, later, can't. Drills work the same way, marked as drills.

  • Training and equipment for every volunteer
  • Call-out by email with one-tap answers
  • A live board: coming, on scene, later, can't
  • Hours and responders kept for the after-action report
  • Drills, clearly marked

10 · The club station log

A club log that knows who was on the key.

The club callsign's logbook lives on QSL World. Members log for it from the QSL World Logbook app, Ham Browser or qslworld.com, as themselves, and every QSO carries the operator's callsign. Access follows the roster: add a member and they can log; they leave and the access goes with them.

  • Every QSO with the operator's callsign
  • By operator, by year, by contest, Field Day
  • Access follows the roster on its own
  • Members' own logbooks stay private
11 · Each member's club page

The club, in every member's pocket.

Members sign in to qslworld.com/my-club with their own account and find everything that is theirs: standing and dues with online payment, coming events with RSVP and volunteer jobs, the nets, open call-outs to answer, ballots to cast, the club's news, documents and their awards. Officers also see an overview of the club.

  • Works on a phone, no app to install
  • RSVP, volunteer, vote, pay dues
  • Answer an emergency call-out
  • Club news, newsletters and documents
  • An overview for officers

12 · Club email and domain

info@yourclub, finally.

Register the club's own domain from inside the app, or use the one you have, and hand out addresses: info@, secretary@, net@, or one for every member. Addresses work in Ham Email, Apple Mail, Outlook, Gmail or any mail program, and a member picks up their password in the app.

  • Your own domain, registered and renewed
  • Addresses for officers or for every member
  • Works in any mail program
  • One-time password pickup in the app

  • Folders for bylaws, minutes, planning

  • Files and links

14 · Training and equipment

Know what the club has, and who can do what.

Track ARES, Skywarn, VE, ICS and CPR credentials with their expiry dates and warnings before they run out. Keep the club's radios, antennas, repeaters and generators with their value, location and who has each one on loan.

  • Credentials with expiry warnings
  • Events limited to members with a skill
  • Equipment with custodian and value
  • Loans: who has the club radio this month

15 · ARRL annual report

The yearly ARRL update, ready to copy.

ARRL asks every affiliated club to update its record each year. Ham Club gathers the club's year from its own records: officers, members, meetings, nets, Field Day, VE sessions, volunteer hours and newsletters, ready to copy into the form.

  • Officers and membership from the roster
  • Meetings, nets, Field Day and VE sessions from the calendar
  • Volunteer hours and newsletters counted
  • A reminder a year after you file
